Responsibilities:
As an Export Logistics Coordinator, you will play a pivotal role in efficiently managing export shipments for the MEA region. Your responsibilities include:
- Daily management of export shipments from the Free Zone and factories as soon as delivery numbers and Shipping Instructions (SI) are provided by the customer service team.
- Handling export shipments related to the service team (Service, Parts, Technical, Controls, warranty, and affiliates), regardless of the mode of shipment (sea, courier, normal air, land) and type of order.
- Preparation of shipping documents in coordination with the Customer Service (CS) team, customers/affiliates, forwarders, factories, and warehouses.
- Collaboration with factories to confirm forwarder details, delivery numbers, and shipment documents for shipments from the factory to customers or affiliates.
- Close coordination with the CS team, factory, customer/affiliate, and forwarder to ensure the timely movement of shipments.
- Providing timely information, including delivery proof, Air Waybill (AWB), or Bill of Lading (B/L) copy to the CS team/Affiliate upon shipment collection.
- Coordinating with certifying agencies such as TUV, SGS, BV for Certificates of Conformity (COC) in line with customer requirements, in collaboration with factories or warehouses.
- Reviewing and monitoring shipments moved on CIF, CFR, FOB, DDP, DDU basis.
- Close collaboration with the credit team and timely submission of LC, SBLC, CAD documents in accordance with customer requirements.
- Responsible for clearing invoices from forwarders on time and notifying the payables team for payment processing.
Requirements:
- Establishing professional relationships with forwarders and conducting periodic meetings with all forwarders and warehouses to meet logistics needs and secure favorable rates.
- Continuously monitoring and minimizing transport costs.
- Conducting regular meetings with forwarders and warehouses to stay updated on changes and sharing relevant information with the team.
- Handling various categories, including Project Sales, General Repair, Spare Parts, Commissioning, Goodwill Sales, and DOS & Extended warranty contracts creation.
- Managing invoicing, work order closure, and coordinating with R2R (Record to Report) for revenue recognition.
